Terms of Service

These Terms of Service ("Terms") govern your use of LabFlow LIMS ("LabFlow", "the Service"), operated by LabFlow LIMS ("we", "us"). Please read them carefully.

1. Acceptance of Terms

  • By accessing or using LabFlow LIMS, you agree to be bound by these Terms of Service. If you are using the service on behalf of a laboratory or organization, you represent that you have the authority to bind that organization to these terms.
  • If you do not agree with any part of these terms, you may not use our service.

2. Description of Service

  • LabFlow LIMS is a cloud-based Laboratory Information Management System that provides tools for patient management, order tracking, result entry, report generation, and result delivery for medical laboratories.
  • We reserve the right to modify, suspend, or discontinue any feature of the service with reasonable notice to active subscribers.

3. Account Registration

  • LabFlow accounts are created by our team during the onboarding process. There is no public self-registration.
  • You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.
  • You must notify us immediately of any unauthorized access to your account.

4. Subscription & Billing

  • LabFlow is offered as a subscription service with monthly or annual billing cycles. Pricing is determined during the sales process based on your laboratory's needs.
  • All fees are quoted in US Dollars unless otherwise agreed in writing.
  • Subscriptions auto-renew unless cancelled with at least 30 days written notice before the renewal date.
  • We offer a 14-day free trial for new customers. No payment information is required during the trial period.

5. Data Ownership

  • Your Data: All patient data, test results, reports, and other content entered into LabFlow by your organization remains your property. We process this data solely to provide the service.
  • Data Export: You may export your data at any time in standard formats (CSV, PDF) through the application.
  • Data Deletion: Upon account termination, we will retain your data for 90 days to allow for export, after which it will be permanently deleted unless otherwise required by law.

6. Acceptable Use

  • You agree to use LabFlow only for lawful purposes related to laboratory operations.
  • You must not: (a) attempt to access other organizations' data; (b) reverse engineer, decompile, or disassemble any part of the service; (c) use the service to store or transmit malicious code; (d) share your login credentials with unauthorized individuals.
  • Each user account must represent a single individual. Shared accounts are not permitted.

7. Service Availability

  • We target 99.9% uptime for the LabFlow platform, excluding scheduled maintenance windows.
  • Scheduled maintenance will be communicated at least 48 hours in advance and will be performed during off-peak hours when possible.
  • We are not liable for downtime caused by factors outside our control, including internet outages, third-party service failures, or force majeure events.

8. Support

  • All plans include email support. Professional and Enterprise plans include priority support via WhatsApp and phone.
  • Support hours are Sunday through Thursday, 9:00 AM to 6:00 PM Palestine Time.
  • Emergency support for critical system issues is available 24/7 for Enterprise plan customers.

9. Limitation of Liability

  • LabFlow is a software tool that assists laboratory operations. Clinical decisions must always be made by qualified laboratory and medical professionals.
  • We are not liable for any clinical outcomes resulting from the use of our software. Reference ranges, flagging rules, and calculation formulas are configured by your laboratory and should be verified by qualified personnel.
  • Our total liability for any claim arising from the use of the service shall not exceed the fees paid by your organization in the 12 months preceding the claim.

10. Termination

  • Either party may terminate the subscription with 30 days written notice.
  • We may immediately suspend or terminate your access if you violate these terms, fail to pay fees, or if required by law.
  • Upon termination, your right to access the service ceases immediately. Data retention and deletion follow the procedures described in Section 5.

11. Changes to Terms

  • We may update these terms from time to time. Material changes will be communicated to organization administrators via email at least 30 days before taking effect.
  • Continued use of the service after changes take effect constitutes acceptance of the updated terms.

12. Governing Law

  • These terms are governed by the laws applicable in the jurisdiction of Palestine. Any disputes arising from these terms shall be resolved through good-faith negotiation, and if necessary, through binding arbitration.
